How Krupa improved her coaching student's accountability & saved time for herself?

Krupa's Backstory

Krupa started her chemistry coaching business during the pandemic while managing her toddler. And, she was facing hard time managing her students - making them do the assignments and submitting on time.


This was the time she approached me for business systems setup to organize her business. I thoroughly audited her business. When I looked at her current systems, I realized she was getting the students' assignments from WhatsApp which was hard to evaluate and keep track of.


As a result, her phone was flooded with PDFs, voice notes, and screenshots from students. Even her Google Drive was full from setting custom question papers for each batch.

Even she faced difficulty with organizing her resources.



The Challenge

The challenge here was her ideal clients were school students and they aren't exposed to technology so much and their parents don't have a lot of time tracking their child's performance every week.


So, we can't use technology that we normally use for B2B businesses. As much as possible, the systems should be easy to access and understand.



Systems I set for Krupa

We started with setting up the basic systems that she needs for managing all areas of her coaching business like leads, clients, launches, & operations so that she doesn't face any difficulties in the future.


Once that's done, we started with setting up her click up for getting students' assignments in a smarter way without them having to use any redundant technology. This way they get to submit their assignments within few minutes.


Also, we set up a resource vault inside clickup that she doesn't have to search for files in her google drive anymore.


THE RESULT - 3 Months Later

We noticed immediate results. And, Krupa sent me this text after 3 months saying my systems are working perfectly for her.


Finding resources for setting up question papers became a cakewalk as she literally spent few minutes to refer to her resources. She even started providing extra resources to her students browsing from her internet.


FURTHERMORE AFTER A YEAR


After exactly a year, she came back to me saying most of the systems I've set up for her were working and she wanted me to improve the accountability and lead management part in a better way.


By this time, I worked with multiple coaches and upgraded my knowledge of automation as well. So, we set up a robust automated lead management system that saved her literally hours every month. Also, we set her accountability systems inside Clickup in a way that her students to speed up "taking action"


Now, she can focus on her core expertize - coaching her students. The rest would be handled by the systems and her team.

CONSTANTLY IDENTIFYING THE TIME CONSUMERS IN YOUR BUSINESS
